The opportunity

This is a unique opportunity for an experienced administrator to support the delivery of high-quality student and accommodation services across our halls of residence at University of the Arts London.

 

As a Residence Receptionist, you will be the first point of contact for students, staff and visitors, providing a welcoming and efficient reception service. Your role will involve responding to in-person enquiries, receiving contractors, visitors and guests, issuing work permits, managing keys and supporting the check-in and departure processes. You will also be responsible for a range of administrative duties, from coordinating the post management system and managing telephone and inbox queries to processing invoices, purchase orders and all-resident communications.

 

In addition to your reception and administrative duties, you will provide essential support to the Residence Manager and the wider Halls Management team by taking minutes, managing diaries, and organising meetings or events when required.

 

This role involves travel between designated halls and other university sites across London. Flexibility is essential, as you may be required to work varying shifts and some weekends between July and September.

 

Your profile

To succeed in this role, you will need previous customer service experience and a strong command of Microsoft Office applications, alongside proven experience of minute taking and diary management.

 

Experience with financial or procurement processes and a familiarity with accommodation management software would also be advantageous.

 

Strong organisational, communication, teamwork and problem-solving skills are essential, as is the ability to work independently and manage tight deadlines while working under pressure.
