The opportunity

We are looking for an Executive Assistant to provide effective and professional administrative support to the Pro-Vice Chancellor (online), Director of Production and other members of the UAL Online Senior Leadership team as required. This will include managing calendars, coordinating events and meetings, assisting with report and presentation production, processing expenses, travel arrangements, undertaking financial support tasks and interacting daily with senior staff on operational issues.

UAL Online is an exciting new division which has been established to enable access to the university’s world leading creative arts education to audiences around the globe. We plan to launch with a suite of new postgraduate degree courses starting from the 2024/25 academic year.

In order to achieve this ambition, we need to undertake a major change programme across the university. Building the foundation for our new operations will involve both the evolution of existing systems for new audiences and the build of new systems, infrastructures and processes across the wider university.

This role is an exciting opportunity for an experienced and proactive Executive Assistant / Personal Assistant who likes to help build things. At this early stage in the division’s development, we’re looking for someone who is passionate about helping to advance a positive team culture and also enjoys establishing systems and processes for the team.

About you

You will have and/or be:  

  • Educated to degree level or possess equivalent relevant experience.
  • Significant administrative experience working with senior level and/or high-profile individuals, as a personal or executive assistant.
  • Proficient in MS Office (Office 365 including Word, PowerPoint, Outlook, SharePoint, OneDrive, Excel) and online tools for diary management, financial administration, and HR administration.
  • Experience of co-ordinating senior level meetings; demonstrating the ability to write accurate notes with attention to detail.
