The opportunity
Are you an organised and proactive administrator looking to play a vital role in supporting senior leaders within a world-leading creative institution? We are seeking two dedicated Administrators to join our Learning and Teaching Directorate at University of the Arts London.
As part of our Executive Support Team, you will be key to ensuring the smooth running of the Directorate by providing high-quality administrative and organisational support to the Senior Leadership Team. You will help leaders focus on their strategic priorities by managing diaries, co-ordinating activities, and keeping track of important actions. This will include:
- Coordinating and supporting committees, working groups and other meetings
- Collating information and documentation, including letters, memos, reports and presentations
- Prioritising incoming communications such as emails and calls, acting as a key point of contact for staff, students, and external stakeholders
- Coordinating cross-college events such as staff away days and receptions, by liaising with your colleagues from across the College
- Support purchasing, procurement for goods and services, and raise contracts for hourly paid staff in line with UAL finance procedures.
This description is intended to provide an indication of the core responsibilities of the role, however appointments will be made with consideration to the overall balance of skills, experience and expertise across the team.
Your profile
To succeed in this role, you will need strong administrative experience, including experience of supporting colleagues, writing reports, formatting presentations, taking minutes and servicing committees.
Excellent written and spoken English is essential, along with proficiency in Microsoft Office 365 applications such as Word, PowerPoint, Outlook, SharePoint, OneDrive and Excel. You will also be familiar with student administration systems such as SITS.
You will also be able to demonstrate professionalism, discretion and attention to detail in every aspect of your work, handling communications and transactions with efficiency while maintaining the highest standards of confidentiality.
