The opportunity

This is an exciting opportunity for an experienced administrator to develop their skills and experience, playing a key role supporting a university-wide transformational initiative at University of the Arts London (UAL).


The Academic Capacity and Experience Programme was established as part of the university’s student experience plan and is fundamental to the delivery of the UAL ten-year strategy to give our students the education they need to flourish in a changing world and bring a high-quality creative education to more students than ever before.


As the Project Administrator you will be working across the university with a range of stakeholders, juggling a range of tasks, and supporting colleagues to deliver the project to schedule.


Your responsibilities will include:

  • Diary support and coordination: scheduling meetings within the team, across the university and externally, ensuring rooms are booked and catering is arranged, as necessary

  • Supporting meetings via the preparation of agendas, and the collation, and distribution of papers in a timely manner

  • Note-taking; recording and collating the outputs from meetings in a timely manner, including tracking follow up actions

  • Maintaining and updating records and documentation appropriate to the project as required; this may take the form of formal project documentation, committee papers or a progress log

  • Managing the project’s mailbox

  • Supporting the organisation of team or stakeholder events, as necessary

  • Maintaining the team SharePoint site


You will be happy to work in a flexible and hybrid way, working at least one full day in the office and 3 days from home. The schedule is flexible and will be mutually agreed with the appointed candidate in accordance to operational requirements.

Your profile

You will be educated to A-level or equivalent, with a high standard of English language proficiency, a good standard of numeracy and an ability to read and interpret basic data.


Demonstrable administrative experience (including experience of scheduling face to face, Teams and hybrid meetings) is essential.


You will also need to be proficient in MS Office (Office 365 including Outlook, Teams, Word, PowerPoint, Outlook, SharePoint, and OneDrive).


Good oral and written communication skills are equally important.
